
Personal Assistant to the Global Head of Data Operations
In your role as Personal Assistant (PA) you will support the Global Head of Data Operations. Your main responsibilities will be to manage the complex diary, looking weeks ahead to make sure the manager is prepared seamlessly in a variety of day-to-day activities. You are expected to act as the extension of your manager. Meaning that you need to be proactive in picking up emails/ agenda items and handling business applications such as Aveska/ServiceNow/ myWorkplace/ Workday and business travel. Sitting in MT meetings and taking up HR related topics making notes of actions is a real necessity. Your talent is around organizing events, which you will demonstrate through organising town halls, team events and other engagement activities.
You need to be flexible and wanting to help out other MT members when they need it. Taking the extra step to make a difference not because you must but because you want to. The Global Head of Data Operations will be working both in Amsterdam and Manila.

This is a personal assistant role where availability/ approachability, flexibility and proactivity are highly regarded. You will closely work together with the Business Manager and Management Team of the Global Head.
Main tasks:
- Organize, prepare and schedule meetings and manage the diary
- Assess priority, sensitivity and purpose of meetings, travel requests and day-to-day activities
- Issue reminders for appointments & follow up actions points
- Record, organize and manage incoming and outgoing calls and written communication
- Sit in meetings MT’s and others where requested. – taking up actions
- Assess priority, sensitivity and purpose. Respond to queries, arrange for the manager to respond to queries or forward queries to the appropriate person in the organization
- Act as the point of contact and maintain internal and external contacts
- Provide organizational, logistical, general and technical support in relation to business travel, meetings, media, conferences, seminars, receptions and anniversaries
- Administration (operate a range of administrative systems, for example sickness and absence records)
- Take care of the administrative handling of new staff/transfers/leavers, claiming expenses, Ibuy and E-profit in accordance with existing compliance rules
Working and thinking level
- Minimum of 5 years’ work experience in a secretarial/supporting role
- Fluent in English and Dutch
- High level written and verbal communication skills in English & Dutch
- You master the most commonly used office programs / applications like Outlook, Word, Excel, Power Point, Workday, IBuy, etc., and are willing to learn new ones when needed
